Privacy policy
This policy explains how Basit Transport Services (“BTS”, “we”, “us”) of AK - 772 - 2979, Emena Boadi, Kumasi, Ghana handles personal data when you use the BTS customer, rider or vendor apps, the public website, or a business account. We designed the product around proof — vetted riders, live tracking on a job, and OTP handover — and that design has privacy consequences we spell out here. We process data in line with Ghana’s Data Protection Act, 2012 (Act 843). This page is a product-aligned policy; a lawyer should review it before store submission.

Who this covers
EveryoneBTS is a last-mile delivery platform in Ghana. One backend serves four kinds of people. The data we need from each of you is different.
- Customers (users) — people who send or receive parcels, documents and errands.
- Riders — independent operators who go online, accept jobs and complete handover.
- Vendors — shops and counters that book riders from the BTS Vendor app.
- Business accounts — organisations that use BTS as their delivery partner, including volume pricing and named account contacts.

What we collect
EveryoneAccount and device
- Mobile number, name, and (where you give it) email.
- Phone OTP challenges used to sign in. Codes are hashed, expire in minutes, and are never returned in an API response.
- Device identifiers, app version and platform, used to issue tokens and recognise a trusted device.
- Support messages you send through the apps or this website.
Orders and money
- Pickup and drop-off coordinates and addresses, service type (parcel, document, errand) and machine type.
- Quotes and fares computed on our servers from distance and the active pricing version. Clients display the price; they never calculate it.
- Payment method (Mobile Money via Paystack on MTN, Telecel or AirtelTigo, or cash on delivery), payment status and ledger entries in pesewas.
- Order timeline events, proof-of-delivery photo and delivery OTP verification result — not the code itself in rider-facing APIs.
Customers
CustomersWhen you book, we need enough to match a rider, show you a price before you confirm, take payment, and prove handover.
- Your profile, saved places and favourite riders.
- The live location of the assigned rider while that job is active, shown to you on the map.
- A four-digit delivery OTP generated for the order and shown only to the customer/receiver. The rider must hear it at the door. If both apps showed the code, it would prove nothing.
- Ratings you leave after a job.
- Notification preferences (push, SMS, email).
We do not sell your order list. A vendor or business that booked the job can see the timeline, OTP confirmation and proof photo for that order so they can stand behind their customer.
Riders
RidersIdentity and KYC
Before the first job, BTS staff review documents you upload during onboarding. We keep them to verify you and to meet insurance and safety expectations.
- Ghana Card (front, back) and a live selfie holding it.
- Driver’s licence and insurance, where the machine requires it.
- Vehicle make, model, registration and photos.
- MoMo number registered in your name, and the name on the wallet — payouts cannot be redirected to someone else from the app.
- An emergency contact.
- Agreement to rider terms, data consent and a background check.
Location — only while you work
This is a privacy commitment, not a cost-saving trick: we do not stream your location when you are offline.
- Offline — no location streaming.
- Online and idle — coarse updates so dispatch can match nearby jobs.
- On a job — frequent updates so the customer can watch pickup and drop-off.
- Waiting a long time in one place — updates slow down.
Earnings
Every job shows the fare, BTS commission and what you keep. Settlements go to the MoMo number on your file. Cash collected on delivery is capped; amounts that belong to BTS must be remitted. Errand float is advanced separately and reconciled against the receipt.
Vendors
VendorsA vendor account is a shop or counter that books riders in the moment. We verify the business before you can dispatch.
- Legal name, trading name and registration certificate.
- Pickup pin riders navigate to, opening hours and owner contact.
- Local permit and tax clearance where required.
- Payout destination for vendor earnings.
- Orders your staff book, handover confirmations and settlement statements.
Your staff should only use the vendor app from devices you control. We log which account booked and confirmed each order.
Business accounts
BusinessBusiness partnerships add a named account contact, handling rules per order, and weekly settlement statements. When we deliver for you, the customer experience is yours — including any brand instructions you give us.
- Company identity, billing contact and contract terms.
- Handling and handover scripts (fragile, cold-chain, signature-only).
- Volume routes and pricing versions that apply to your account.
- Order evidence your team can show a customer: timeline, OTP result, proof photo.
If your staff invite colleagues, you are responsible for keeping that access list accurate. Tell us when someone should lose access.
How we use data
Everyone- Create and secure accounts (phone OTP, device binding, session refresh).
- Price and fulfil orders: route distance on the server, match a vetted rider, live tracking, OTP handover.
- Take and reconcile payments; keep a double-entry ledger in pesewas.
- Review KYC, approve or reject onboarding, and expire documents that no longer check out.
- Detect fraud, cash-cap breaches, impossible location jumps and abuse of errand float.
- Send transactional SMS and push (OTP, job offers, payout, support). Marketing messages only if you opted in.
- Improve dispatch quality and the map experience. We do not use offline rider traces — there are none.
How long we keep it
Everyone- Account profile — while the account is open, then a short winding-down period for disputes and payouts.
- Order, ledger and payment records — kept as financial records; we do not edit or delete ledger rows. Corrections are reversing entries.
- KYC images — while you are an active rider or vendor, and for a limited period after offboarding in case of claims.
- Location points — used for the live job; we do not build a marketing profile from where you went off-duty, because we did not collect it.
- Support transcripts — as long as needed to close the ticket and improve safety.
- Login OTPs — minutes. Delivery OTPs — until the order is completed or cancelled, then discarded as a secret.
Your rights (Act 843)
EveryoneUnder Ghana’s Data Protection Act, 2012 (Act 843) you can ask to access, correct or delete personal data we hold, or to object to processing that is not required to finish a job or keep a legal record.
- Email support@basittransportservices.com from the number or inbox on the account.
- We may need to verify it is you. We will not hand a rider’s Ghana Card image to a third party just because they asked.
- We may refuse to erase ledger rows, KYC we must keep for a claim, or data still needed to complete an in-flight order.
- You can close a customer account in the app (or by writing to us). Rider and vendor offboarding goes through operations so cash and MoMo can be settled first.
- You may also complain to Ghana’s Data Protection Commission.
Security
Everyone- Admin dashboard and mobile apps use separate authentication. A customer token cannot open operations.
- Mobile access tokens are short-lived; refresh tokens live in iOS Keychain / Android Keystore.
- OTPs are four digits because attempts and rate limits are strict — not because the code is weak by itself.
- KYC uploads go to signed storage URLs; staff view them through short-lived read links.
- Fares are signed server-side. Changing a number on the device does not change what you pay.
No internet system is perfect. If we learn of a breach that affects you, we will notify you and the Commission where the law says we must.
Children
EveryoneBTS is built for adults sending goods and for licensed riders. We do not knowingly create accounts for children. If you believe we have, write to us and we will close it.
Changes and contact
EveryoneWe will update this page when the product or the law changes. The effective date at the top will move. Material changes that affect KYC or location will be called out in the relevant app.
